You checked your phone between appointments and there it was: a client booked at 3 p.m. — into a slot you gave someone else this morning. Or the opposite: the meeting you created at your desk simply isn't on your phone. Either way, you're not here to admire how calendars work. Something in your Google Calendar sync is off, and you want it fixed before the next booking lands.

Good news: almost every sync failure falls into one of five patterns, and each has a short, boring fix. Sixty seconds of anatomy before the clinic opens

Google Calendar is cloud-first. The authoritative copy of every event lives on Google's servers, tied to your Google account; your phone, browser tab, and desktop app are all just clients reading from and writing to that one central copy. Three consequences follow, and together they explain nearly everything that goes wrong.

Devices are views, not owners. Create an event on your phone and the phone sends it up to the server; every other signed-in device picks it up on its next refresh. If a device is offline, its changes queue locally and sync when the connection returns — which is why an event can briefly "exist" on one screen and not another without anything being broken.

Accounts are the boundary. Sync happens per Google account, and a device only shows calendars for accounts added to it. A remarkable share of "my calendar stopped syncing" cases turn out to be a device signed in to the wrong account, or the right calendar toggled off in that device's list.

Sync is fast, not instant. Between Google's own apps, changes usually propagate within seconds to a couple of minutes. Third-party apps and calendars subscribed by URL refresh on their own schedules, which can be much slower. A short lag is normal; a lag of many hours points at configuration, not at the sync machinery itself.

One more layer: shared calendars. A calendar shared with you still lives in its owner's account — you subscribe to it at a permission level (free/busy only, see details, make changes, or manage sharing). What you can see and edit is capped by that permission, and on mobile a newly shared calendar sometimes has to be enabled by hand before it shows up at all.

The fix cards

Fix 1 — Events missing on one device

Severity: high

The classic. Your laptop shows the meeting, your phone doesn't — or vice versa. The fix is usually in the first two steps.

  1. Confirm the account. Check that the device is signed in to the same Google account that owns the event.
  2. Check calendar visibility. Each device keeps its own list of which calendars are displayed; the event's calendar may simply be toggled off where it's "missing."
  3. Verify sync is on. On mobile, calendar sync can be switched off at the system level or throttled by aggressive battery-saving settings. Re-enable and refresh.
  4. Force a refresh. Pull to refresh in the mobile app, or reload the web calendar, to trigger an immediate sync instead of waiting for the next cycle.
  5. Check the web calendar. If the event isn't there either, it never reached the server — it was created offline and lost, or saved under a different account.

Fix 2 — Duplicate events

Severity: high

Duplicates almost always mean two systems are independently writing the same event — a booking tool creating one while an email invitation adds another, or one calendar connected to the same app twice: once by account, once by URL subscription.

  1. Identify the two writers. Open a duplicate pair and compare details — which calendar each copy lives on tells you which system created it.
  2. Disable one path. Turn off event creation in one of the two sources. The rule of thumb: one sync path per calendar per app.
  3. Delete carefully. Remove duplicates from the calendar that is not your source of truth, so the deletion doesn't propagate and take the real event with it.

Fix 3 — Sync delays

Severity: medium

Annoying rather than dangerous — until a delay hides a fresh booking. First establish where the delay lives: make a small test edit on the web calendar and time how long it takes to reach the slow device.

  1. Force a manual refresh on the lagging device and see if the test edit appears.
  2. Check connection and battery settings. Power-saving modes that restrict background activity are a common silent culprit.
  3. Look for a URL subscription. Calendars added by URL refresh on the subscribing app's schedule, which you usually can't speed up. For near-real-time updates, switch to a direct account connection.
  4. Last resort: remove and re-add the Google account on the affected device, which forces a full resync.

Fix 4 — Events at the wrong hour

Severity: medium

Almost never a sync failure. Google Calendar stores each event at an absolute point in time and displays it in each viewer's timezone — the "wrong" hour is a disagreement between three settings.

  1. Your calendar's timezone in Google Calendar settings — check it especially after travel or relocation.
  2. The device's system timezone, which some apps use for display.
  3. The event's own timezone, if it was created for a specific one. An event created in another timezone will legitimately show at a different local hour for you.

For meetings across regions, set the event's timezone explicitly at creation — it removes the ambiguity for everyone invited.

Fix 5 — Shared-calendar permission issues

Severity: low

You can't see details, your edits don't stick, or the calendar never appears. The cause is usually the permission level, not sync.

  1. Seeing only "busy" blocks? You have free/busy access. Ask the owner to upgrade you to "see all event details."
  2. Edits not saving? You have view-only access; you need "make changes to events" or higher.
  3. Calendar absent on mobile? Open the calendar list in the app's settings and enable it — newly shared calendars aren't always synced to phones by default.
  4. Access gone entirely? The owner may have changed the sharing settings; only they can restore it.

Where the sync switches actually live

Half the fixes above end at a settings screen, so here's the map. And when devices disagree, remember which one to trust: the web calendar is the most direct view of the server's copy — the arbiter of what actually exists.

Android

Sync is built into the account system. Confirm your Google account is added to the device, then check that calendar sync is enabled for that account in system settings.

Inside the Google Calendar app, verify the specific calendar is toggled visible. Battery-optimization settings can throttle background sync — exempt the calendar app if events lag.

iPhone / iPad

Two routes: install the Google Calendar app, or add your Google account in iOS settings so events appear in Apple Calendar.

If you use Apple Calendar, make sure the Google account's calendar sync is switched on and each individual calendar is selected. Newly shared calendars often need to be enabled by hand.

Desktop

The web calendar reads the source data directly — when in doubt, check here first. If an event is missing on the web, it was never saved to the server.

Outlook and Apple Calendar on desktop can show Google events: connect via your Google account for two-way sync. A URL subscription is typically read-only and refreshes far less often.

That last distinction quietly causes both duplicates and "my edits disappeared" mysteries: an account-based connection is generally two-way, while a URL subscription is a slow, read-only feed. If you edit events from multiple apps, use the account connection, or your edits will silently go nowhere.

The failure mode no settings screen can fix

Here's a sync failure that happens entirely between humans. A customer sends an Instagram DM or a WhatsApp message — "do you have anything free on Thursday?" — and whoever answers either can't see the live calendar or forgets to write the booking back into it.
